The South African National Aids Council (SANAC) leads South Africa’s response to the national HIV and AIDS, TB & STIs epidemics. SANAC is building a dynamic team that can facilitate its effective leadership of the national response.

Name of Position: Administrator: Programme Management Unit

Reporting to: Executive Manager: Resource Mobilisation

Location: SANAC Head Office, Pretoria

Duration: Fixed Term Contract

Purpose of the job

Providing administrative and secretariat support to the Programme Management Unit.

Key Responsibilities:

  • Work closely with the Procurement Unit to optimize the timely processing of procurement needs.
  • Work closely with staff within other SANAC Units to ensure seamless internal arrangements and a multi-directional flow of information between the various SANAC structures.
  • Serve as secretariat for SANAC SR Meetings and stakeholder meetings, including the formulation of agendas, sending out invitations, minute taking, recording attendances, and provision of all administrative duties including document sharing before and after meetings and filing and archiving of relevant documents.
  • Ensure that all relevant documentation is kept up to date, filed for easy access and saved on the server.
  • Lead and support the preparation of supporting documentation for meetings and arrange meetings as required.
  • Assist the tracking of action plans arising out of meetings.
  • Document outcomes of Technical Working Groups meetings.
  • Coordinate and plan travel, accommodation, and other logistics for SANAC Units Perform any other relevant duties that may be assigned from time to time.

 Qualification, Skills and Experience

  • Advanced Diploma in Office Administration, Public Administration, Business Administration, or equivalent tertiary qualifications.
  • A minimum of 3- 4 years’ experience in a similar position
  • Possess efficient minute taking skill
  • Liaise with logistics Coordinator for travel and accommodation of all staff and other stakeholders
  • Reviewing and editing all documents prepared by the program Managers
  • Proven ability to communicate and interact with high-level officials from government agencies, NGOs, international development organizations, and the private sector.
  • Excellent English Proficiency and Communication skills – written, verbal and presentation
  • Flexibility to work beyond regular core business hours as needed.
  • Excellent Coordinating, administrative, analytical skills
  • Sensitivity to cultural diversity and understanding of the political, contextual, and ethical issues in assigned areas; and
  • Be articulate, professional and have the ability to communicate in a clear, positive fashion with stakeholders, business partners and staff
  • Ability to work independently with minimal supervision.
  • Knowledge of other local languages will advantageous
  • Ability to travel within the country or region if needed
  • Action oriented and results driven.
  • Proficient computer skills in Windows 365 and the MS Office Suite.
  • Sound ability to Multi-task and organizational skills
  • Initiative and ability to work independently
  • Exceptional problem-solving skills
