The South African National Aids Council (SANAC) leads South Africa’s response to the national HIV and AIDS, TB & STIs epidemics. SANAC is building a dynamic team that can facilitate its effective leadership of the national response.

Purpose of the job

 To provide effective administrative and legal support services to the organization.

Key Responsibilities:

Drafting legal Documents:

  • Ensure all contracts and amendments are bound in correct format
  • Compare signed legal documentation and draft schedules
  • Assisting in drafting of contracts, agreements & correspondence
  • Preparing of documentation for grants, audits, insurance claims, etc

Legal Research & Presentations:

  • Conduct legal research & gather relevant information
  • Identifying the appropriate laws, judicial decisions, and legal articles
  • Prepares presentations as and when required
  • Review and monitor updated laws and regulations that affect the organization

Validity of Agreements:

  • Recordal of termination/renewal dates and notice periods of all existing and new agreements
  • Filing and referencing of all contracts/agreements.

 Contract Management System:

  • Maintenance and management of the system to ensure effective use

Payments:

  • Compiling approved and signed invoices, statements and supporting documents for the finance department to process all invoices in the Governance & Legal office.

Administration:

  • Maintaining & organising files
  • Update legal register
  • Office administration

Communication:

  • Liaising with Service Providers, internal departments for information in relation to the drafting of agreements, payments, supporting documents and additional information.
  • Courier collection and delivery services

Debt Collecting:

  • Tracking and tracing debtors, finalising payment terms with Debtors, drafting letters of demand/acknowledgement of debt and repayment agreements, following-up with Debtors re monthly payments.

Meetings:

  • Organising internal and external meetings, booking of boardrooms incl./excl. refreshments
  • Taking minutes and distributing same

Qualification, Skills and Experience

  •  A minimum of a Paralegal Diploma
  • A Bachelor in Laws will be an added advantage
  • Minimum of 5 years’ experience in a legal office environment
  • Basic knowledge of relevant legislation, company law e.g. Trust Property Control Act, Companies Act, Non-profit Organisations Act
  • Filing
  • Contract management systems
  • Computer literacy
  • High level of proficiency in MS Office
  • Ability to travel as and when required
  • Analytical skills
  • Attention to detail
  • Excellent interpersonal skills
  • Excellent communication skills
