The South African National AIDS Council Trust (the SANAC Trust) leads South Africa’s response to the national HIV, TB & STIs epidemics. The Trust is building a dynamic team that can facilitate its effective leadership of the national response. We are, therefore recruiting a Grants Administrator for our organization. The position is based in Hatfield, Pretoria.

Purpose of the job 

Working closely with the SANAC Civil Society sectors to administer the implementation and funding of the Onward Granting Policy, including the preparation of monthly reports on the funded project status and submit them to the management.  Process the paperwork and applications and ensure that the money is being used according to the SANAC Policies and Procedures.

Key Responsibilities

Effective coordination and management of the grants

  • Supporting the organisation and facilitation of events (dialogue meetings, workshops, training) with participation of civil society and other supporting structures
  • Promoting and maintaining a positive working relationship between the Secretariat and Civil Society;
  • Maintaining and verifying payment records, reviews invoices and record receipts
  • Ensure that all expenditure incurred are supported by proper documentation in order to make the grant expenditure effectively and efficiently
  • Ensuring that the grant expenditure complies with the SANAC Grant Management Policy, specifically the Onward Granting Policy
  • Ensuring that grant expenditure are aligned with project expenditure
  • Monitoring the progress of the funded project and whether the money is being utilized for the activities
  • Preparing reports on the funded project status and submit them to the management
  • Preparing grantee payment submissions based on grantee contract terms and achievements/deliverables
  • Performing other duties as assigned

Effective document management

  • Preparing appropriate reports for the UN Agencies and ensure work within deadline and compliance to all contract
  • Compiling grantee documentation for signature and ensuring signed documentation are in place and kept on record for auditing purposes (electronically and manual)
  • Collaborating with accounting departments and prepare financial budget and ensure adherence to all SANAC Trust procedures
  • Verifying expenditure against invoices and submit
  • Ensuring grantees submit all tools and materials developed including registers

Knowledge and Skills

  • Excellent knowledge of grant processes and practices
  • Knowledge of financial and budgeting aspects of the organizations
  • Ability to administer various grants
  • Ability to analyse budgetary line items for compliance with the contract agreement and as per the budget guidelines
  • Strong verbal and written communication skills
  • Must have good interpersonal and negotiation skills
  • Must be well organized and have detail oriented approach
  • Proficient in the use of MS Office (Word, Excel,)
  • Accessibility to grantees in order to update them on the status of the grant expenditure

Qualifications, Skills and Experience

  • A post matric qualification would be advantageous, but not essential
  • Minimum of 5 years of relevant grant administration policies and procedures
  • Experience in working with civil society will be advantage
  • Excellent knowledge of grant processes and practices
  • Knowledge of financial and budgeting aspects of the organizations
  • Ability to administer various grants
  • Ability to analyse budgetary line items for compliance with the contract agreement and as per the budget guidelines
  • Strong verbal and written communication skills
  • Must have good interpersonal and negotiation skills
  • Must be well organized and have detail oriented approach
  • Proficient in the use of MS Office (Word, Excel,)
  • Accessibility to grantees in order to update them on the status of the grant expenditure
